The document and improved software are submitted to Ato Yeneguad, ICT process head of the BoE. This document is a reply to the 11 point requests made by BoE to improve the usablility of VOLUNRAR.

It was recalled that on Feb 10, 2011 that all the three softwares (VOLUN-RAR, RAS, RAN) were presented to more than 20 audience in the Bureau of Education. On that day, a number of questions were forwarded. Eleven questions of improvement were requested by BoE on VOLUNRAR alone. W/t Atsede Tagel, project coordinator of Volun, submitted the document and CD.

These three huge systems consumed the last nine months with stout-heartedly and diligent process of software development. The products were delivered on 5th January 2011 to Amhara national regional state education bureau.

 

The whole plan of the presentation was planned for the morning section only. However, Ato Kiros apologized the audience for re-planning and expressed the need to spend the whole day on these important and pioneering products. It was recalled that the company won the project to develop VOLUNRAR, VOLUNRAN and VOLUNRAS; meaning 8th grade regional level, grade 9 to 12 school levels and grade 10th & 12th national level examination roster management system.

Ato Yenealem received the softwares and LAN design document from team of experts W/rt Atsede, Ato Tiruneh led by Ato Tatek, the project manager.The delivery included VOLUNRAR 2010 (8th grade regional level roster), VOLUNRAS 2010 (9 to 12th grade school level roster), VOLUNRAN 2010 (Grades 9 and 12 national level rosters), System Requirement (SRS) documents for all the three softwares and Amhara regional level network design document.

The ICT expert of BoE, Ato Yenealem, suggested that he needs 15 days period to test the products. Meanwhile, Volun has prepared letters to request all the resource persons during the development of the softwares to gather at BoE hall and comment on software presentations that will be held with in 1 month period.

This submission of final products is a result of an effort conducted through out the last 6 months from the inception of the project.

01 September 2010 (26 Nehase 2002): According to the comments given by BoE to assess the actual problems faced by high schools lacking a automated roster system so far, a questionnaire template prepared to collect such data has been prepared and submitted to BoE for comments. During the first month of the project, Volun contacted schools, teachers and regional exam heads through interview to collect such data.

Apparently, the comment forwarded by BoE to use additional questionnaire templates was found to add constructive and add more information and guarantee on problem identification. The first draft of the questionnaire is presented below: Click here to download the questionnaire in word format.

The discussion, apart from administrative issues, was on technical matters like (1) preference of the client on UML notations in the SRS documents, (2) improvement on data flow diagrams and clear presentation of sequence diagram with objects, (3) selection of pilot schools, (4) need for brief presentations on the whole process of SRS preparation, data collection, problems identified etc to process owner and bureau heads. Besides, Ato Yenealem stressed the need for (5) official support letter from the bureau and (6) formal collection of all roster related formats from informant pilot schools.

The purpose is to communicate information between Volun and the Bureau and at the same time to create a modern platform to allow stakeholders and staff of the bureau follow up the status of the roster-design projects.

This website was recently presented to BoE’s ICT unit and the specific information published pertinent to the roster-design projects undertaken. This website is an additional means to the formal communication we use so far. Volun beliefs that such an approach best method for heads and process owners to follow-up the status of this large scale project to be deployed at regional level. It adds transparency to the Bureaus staff, stakeholders and the public on what the bureau and Volun are doing, how the project is handled by the BoE’s ICT unit and the vendor, etc.

Ato Getasew Admasu and Ato Tatek Molla of the Volun Development Teams are assigned as coordinator and project managers for the Network and Software projects respectively. The two experts have excellent experience in the areas they are assigned.

Ato Getasew has served the University of Bahir Dar as head of the ICT section and member of the network design and deployment of the institution. Ato Tatek has worked about two years on "tilahun1960" software deployed to Bahir Dar Municipality and 9 Kebeles. Tilahun1960 software is developed on open source technology which his experience is valuable in similar technology which Volun will deploy to the Bureau of Education.

Volun beliefs that the roster-network project of the Education Bureau will benefit from their experience.
